1.-ORGANIZATION:
CEGA MULTIMEDIA, S.A.
2.-PLACEMENT AND TIMING
The XII International Game and Hunting Weapons Fair, FICAAR 2010, will take place in the Crystal Pavilion at Madrid's Fairground “La Casa de Campo”, the days 5, 6 and 7 of March of 2010.
3.- ADMISSION CONDITIONS
3.1.-Companies whose commercial services are considered in participating list may be admitted as expositors:
Hunting Accesories and requisites/ Art/ Hunting and sporting Guns/ Cars/ Hunting Complements/ Gastronomy/ Optics/ Books/ Ammunition/ Hunting Preparation/ Dogs/ Specialized Press/ Replicas and Decorative/ Outdoor Clothing/ Insurance/ Services/ Hunting Travels/ Safaris/ Video/ Films
Third party cession of both admission rights and space (in whole or in part) is forbidden.
3.2.-Management is enable to change spaces and allocations carried out for technical reasons.
4.-PROMOTION AND CATALOGUES:
4.1.-Exhibitors may distribute samples, brochures or leaflets to do only with their own stand.
Distribution of samples, brochures, leaflets and all type of promotional materials from no participating manufacturers firms or companies is clearly forbidden.
Exhibitors can only occupy the spaces awarded with their products allowing freeway in the corridors.
5.-SPACE AND GROUND FEES:
There are two different fees (electricity consumption costs, general cleaning, and central heating are included in both):
● Free surface: 105
/m2+7%VAT
(only especial stand)
● Modular stand: 120
/m2+7%VAT
* Special Price for stands with surface superior 20 m2:
● Free surface: 100
/m2+7%VAT
● Modular stand: 115
/m2+7%VAT
6.-SPACE APPLICATIONS, INSCRIPTION AND SPACE ALLOCATIONS
6.1. - The exhibitors who have taken part in the last edition and want to preserve the same location with equal or major surface for the Edition 2010, will have priority with regard to order interested in exhibiting but you will have to communicate and make the reservation of this space before April 30th, 2009.
Passed is date It will be distributed the space remaining and the available space will be following a rigorous order of application forms’ arrival (reserves). So if you desire is to take part in FICAAR 2010 is advisable you communicate with us and make the reserve as soon as possible so you will have priority in the election of space before that the request received later.
Space applications shall be filled through application form and sent to FICAAR. The application form for space reservation must be accompanied with a deposit of 20% of the price of the stand.
Applications received without the 20% initial deposit will not be attended to.
Payments can be made by means of cash, guaranteed banker’s cheque payable to Cega Multimedia, S.A.. or banker’s order for Cega Multimedia, S.A.:

6.2.-Initial payment includes the following rights:
-Space solicited reservation and date of entry.
-Additional services request.
6.3. From April 30th the election will be by an strict arrival order of the requests. Every application form received will be recorded daily. Among application forms recorded each day, management will establish points to determine order to follow to choose spaces:
• Seniority: 1 year, 1 point; 2 years, 2 points; 3 years, 3 points; 4 years, 4 points; 5 years, 5 points; 6 years, 6 points; 7 years, 7 points; 8 years, 8 points; 9 years, 9 points; 10 years, 10 points; 11 years, 11 points..
• Surface: less than 50 m2, 1 point; from 50 to 100 m2, 2 points; from 100 to 150 m2, 3 points; more than 150 m2, 4 points.
In case of same scores, surface will be the decisive criterion.
6.4.-The second instalment (30% of the price of the stand) must be made before 1st November 2009.
Payment for additional services and final payment (50% of the price of the stand) must be made before 1st January, 2010.
No access will be allowed to the fair pavilion if payment hasn't been made space.
7.-ADDITIONAL SERVICES:
7.1.-Mofer Montajes, S.L. will send additional services application form to all exhibitors to request different services. Services shall be requested to management before 15th January, 2009.
8.-INSURANCE:
All goods exhibited in the fair must be insured. FICAAR subscribes an insurance policy according to goods declared by exhibitors (6.010 € for stands not containing firearms and 18.030 € if stands have firearms exhibited) as minimum values.
In absence of declared goods, FICAAR will not be responsible for the claims due to insufficient insurance capital.
8.1.-Insurance will be 6,61 € by 6.010 €.
8.2.-Insurance Company will issue an individual certificate including stand number, identification and insured capital.
8.3.-Original policy will be available for exhibitors at FICAAR´s office.
8.4.-FICAAR is not responsible for claims related to damage or spoil suffered on goods, humans and animals different from those engaged in this policy.
8.5.-Declaration of Catastrophe: period of acceptance of any kind of disaster during the fair will be 48 h. and communication shall be made in written to FICAAR.
8.6.-Responsability exemption: FICAAR is no responsible for damage exhibitors, humans or material inside the fairground, neither about damage to visitors because of showed products.
8.7.-Civil Responsibility Exhibition: FICAAR has subscribed a Civil Responsibility Policy including as insured to both Management and the whole of exhibitors coming to the fair, with a maximum limit of 601.012,10 € in case of catastrophe, guaranteeing material damages, and/or corporal damages to third party with occasion of this event.
Policy to be paid by exhibitors about this concept will be 12,02 €.
9.-CANCELLATION:
In case of cancellation or inability to attend the fair, exhibitors will loose the initial payment refund as well as the whole final payment for the space rented.
If cancellation takes place within 30 days before the fair, the whole payment of the stand could be demanded, even though this space would be rented afterwards by another exhibitor.
10.-STAFF CONTROL:
Every people involved in the stand setting-up and taking-down must carry an exhibitor’s card with his name and the name of his firm on it, in order to be allowed to enter to the pavilion.
11.-SETTING-UP AND TAKING-DOWN OF STANDS:
11.1-For setting-up a stand, exhibitors must provide proof of payment issued by Fair’s administration.
11.2-Vehicles to be exhibited will be placed in the pavilion before 14:00 p.m., 4th March, 2010.
11.3-Setting up of stands will begin at 8:00 am on 3th March, 2010 and will be finished before 8:00 in the morning on 4th Marzo, 2010. No works will be allowed from here on. In case of non-fulfilment of this point, an extra charge (10 % of the price of the stand) could be demanded to exhibitors, apart from the cleaning expenses caused.
Modular stands decoration will start at 8:00 in the morning on 4th Marzo, 2010 and will be completed before 8:00 at night the same day.
11.4-Time for taking down stands will start at the moment the Fair has closed doors to public last day of the exhibition. It’s not allowed to take down any stand before the official date and time of the fair’s closing.
11.5-Painting, nailing or perforating components of the pre-decorated stands is strictly forbidden. Exhibitors must bear these questions in mind when planning decoration. Decoration plans must be approved by the technical services of the Fair’s administration, and any additional decorations must be self-supporting and independent of the stand’s own structure.
11.6-Exhibitors or, in the event, professionals contracted to decorate stands, must show to the organisation a sketch of the work to be conducted. The organisation reserves the right to demand a deposit, when it’s called for in the opinion of its technical services. The deposit amount will be set by them.
12.-SECURITY:
FICAAR´S organisation will provide a security service of 24 hours, which will ensure successful running of the Fair. Security of stands and their products during public hours and the period of setting-up and taking down of stands is responsibility of the exhibitors.
13.-RESPONSIBILITY:
13.1-FICAAR is responsible for all human or property damages that occur within its jurisdiction.
13.2-Exhibitors are responsible for all personal and property damages caused by own behaviour and by employees, or related to installations goods exhibited, without prejudice to who has the responsibility.
14.-IMPORTED GOODS. CUSTOMS:
14.1-All imported goods must be accompanied by the appropriated Spanish customs documentation (included cities trophies).
14.2-Given the complexity of Spanish customs, exhibitors are recommended to contract a customs agent in Spain to carry out the necessary procedures.
14.3-Organisation cannot be held responsible for any problems that exhibitors might face on dealings with Spanish customs.
15.-FIREARMS EXHIBITORS:
15.1-Weapons and firearms exhibitors must show these without firing pin, in such a way that guns will be impossible to be shooted.
15.2-Exhibitors with weapons will request an obligatory permission to the Civil Guard, and will send a list about the weapons and its own numbers.
16.-FINAL ORDER:
16.1-FICAAR will publish an official catalogue including an exhibitors alphabetical list and a relation about the exhibited products. Exhibitors will send the application form to be included in this catalogue together to the participation application form. Different information or details from those written in the application form will not be accepted without being communicated in writing before 10th, January 2010.
16.2-FICAAR is authorised to detain exhibited materials in case of breaking the contract. Specially FICAAR could keep exhibited products in case of non-payment about any amount for reason to participate in the Fair. FICAAR isn’t responsible for damages against exhibited products due to these stoppages. All costs are for exhibitors.
16.3.-Responsibility exemption: FICAAR is not responsible for damage made against exhibitors, personal and material, inside the fairground, neither about damage to visitors because of showed products.
16.4-Exhibitors are to respect all conditions to prevent accidents and fires. Machines must be adjusted to noise rules. FICAAR can ban machines working if don’t carry out these conditions.
16.5-In case of force majeur dates can be changed or cancelled. In this case, the amount of the payment of the stand will be refunded to exhibitors after deducing the costs carried out in proportion to each exhibitor without claims in relation with cancellation damages.
16.6-Possible claims must be sent in writing to FICAAR, deciding according to general interests of the Fair.
Both parts decide that all kind of litigation or disagreement coming of this legal relation will be resolved in the presence of the C.A.M (Comunidad Autónoma de Madrid) Court.
